Revised entry procedure for the 2010 Round Norfolk Relay.

Background.

1. Although the on-line ‘first come, first served’ principle used for entry to the 2009 race worked well it did have limitations. The most serious of these was that much depended on a person’s keyboard skills, it relied upon the efficiency of Pay Pal to process the entry fee and no account was taken of other factors such as loyalty to the event.

2. It has therefore been decided to adopt a different policy which it is felt will better serve the interests of the race, reward loyalty and acknowledge clubs that help in the execution of the race by manning changeovers and signing the course.

Capacity.

3. The capacity will remain at 55 teams.

Casual Class.

4. The Casual class was introduced in 2004 with a view to increasing the number of teams and to permit unaffiliated teams to enter the race. Generally the idea worked well but it did create unintended anomalies such as affiliated clubs entering (and winning) the class. In some instances it has also been seen and used as a soft alternative to entering one of the four main classes. For the past two years, the Casual class reduced the number of vacancies for affiliated clubs. It is the RNR committee’s view that preference to enter the race should henceforth be given to affiliated clubs.

5. Therefore, from the 2010 race, the option to enter the Casual class will be suspended. Of the 10 teams that entered the Casual class in 2009, three (GYADAC, British Airways and Reepham Runners) are already affiliated and could, providing they have enough members, field a team without further action. That leaves the bona fide Casual teams (Fetcheveryone, J 17, Pinks and Blacks, Norfolk Farm Vets and Colworth Striders) who, if they wish to enter the race next year, would have to affiliate to either England Athletics (EA) or the Association of Running Clubs (ARC).

Revised Entry Procedure.

6. Priority Entries. Norfolk clubs will be allowed to enter the race during a two week ‘window’ (1-14 March), prior to the entry being opened to all, but in accordance with the ‘one team per class’ rule, providing they can attain the standards of the race and that they provide assistance to staging the race.

7. During the same two week period (1-14 March), clubs from outside Norfolk will also be granted a one place priority entry if:

• They agree to assist the race by manning a changeover point or in helping in any other manner which is considered appropriate by the RNR committee. Clubs wishing to take advantage of this concession should do so in writing, to admin@roundnorfolkrelay.com, by no later than 8th January 2010
• A club has previously taken part in a minimum of 10 previous RNRs, the last time being within the previous 3 years.
• A major sponsoring organisation wish to enter a team (providing they are an affiliated club).

8. Clubs applying for a priority entry will have to submit an on-line entry and pay the entry fee within the two week window, after which period the priority system will cease. Clubs granted a priority entry will be published on the website at the conclusion of the two week window.

9. Other Entries. Once the priority entry is closed, other teams will be able to apply for vacancies using an on-line application, stating the class for which they are applying. This period will last 14 days (15-28 March). The RNR committee will then decide which of those applications they wish to accept. In arriving at a decision the committee will take account of various factors including previous appearances, class to be entered, the ability of a club/team to meet the standards of the race and the breakdown of teams required to meet a balance in the four classes within the race. Those teams chosen to fill vacancies will be asked to confirm their acceptance, within 14 days, by completing the on-line entry form and paying the entry fee, using Pay Pal.

Entry Fee.

10. Currently under consideration and will be notified separately before the entry opens.

Race Rules.

11. RNR race rules have been amended to reflect these changes.
